Student Registration Card
The Student Registration Card is the property of the University of Hong Kong and is not transferable. It is a student's personal identification document and should be carried with you at all times for access to University facilities.
Regulations for Student Registration Card
The Student Registration Card is a student's personal identification document and should be used for access to University premises and its facilities.
The Card is the property of the University and is not transferable. Misuse or falsification of the Card constitutes a major offence, and is subject to disciplinary action. The University may, at its discretion, require a student to return his/her Card at any time.
If you find that the contactless chip of your Card is not working properly, you should report it to Academic Support and Examinations Section (9/F, Knowles Building or email to regcard@hku.hk). If your Card is found to be defective, you will be issued a new card free of charge. However, you will be liable to a charge of HK$150 for the following:
- the Card is damaged due to mishandling (e.g. crack or surface damage);
- you have lost your Card;
- you cannot return the original Card issued to you when you receive a replacement Card; or
- you cannot return the Card to your Faculty Office upon discontinuation from studies.
Application for New Student Registration Card
The Student Registration Card is issued free-of-charge to new students on their completion of the registration procedures. Students MUST complete the online Master Registration first before they can submit the photograph and identity document for the production of their Student Registration Card.
There are two methods of submitting photo and identity document:
- for Research Postgraduate (RPG) students and Visiting students by submitting paper form; and
- for Undergraduate (UG) /Taught Postgraduate (TPG) students (including exchange students) via HKU Portal ‑> SIS Menu ‑> Self Services ‑> Student Card Document Upload
There may be some exceptional cases and students will be notified in advance of which method to use.
For students who submitted the above‑mentioned documents online, they will receive an email notification at the HKU Portal email account after successful submission. Students may also check the submission status by re-visiting the online submission platform. If all the fields have been locked, that implies a successful submission.
For all students, a Student Registration Card collection email will be sent to the HKU Portal email account when the Card is ready for collection. Student should come to collect the card according to the specific date(s), time and venue as mentioned in the email.
Procedures for Extending the Student Registration Card
Students do not need to apply for a new card due to the reason of extended candidature. Your home Faculty will inform the Academic Support and Examinations Section (ASE) for the issuance of your new Student Registration Card as necessary after the confirmation of extension. A card collection email will be sent to your HKU email account once your new Card is ready for collection. You should return your original Card issued to you when you collect the new Card.
Replacement of Lost/Damaged Card
If students have lost or damaged their Card, they should apply for a replacement of Student Registration Card online via HKU Portal:
HKU Portal ‑> SIS Menu ‑> Self Services ‑> Report Lost/ Damaged Card
A fee of HK$150 per application will be charged for a replacement card.
Collection of Student Registration Cards
A Student Registration Card collection email will be sent to your HKU Portal email account to inform you of the collection details when your Student Registration Card is ready.
You should come to collect your Student Registration Card in person. Please print out and bring along the collection email (in hard copy) with you and all documents mentioned in the email.
If you cannot come in person, you may authorise a representative to collect the Card on your behalf. In addition to the documents mentioned in the collection email, your representative has to present an Authorisation Letter signed by you (in hard copy), which carries the name and HKID card / passport no. of you and your representative, together with a copy of your identity document (HKID / passport as mentioned in your Letter).The University will keep the issued Card within a student’s study period for collection. Uncollected cards would be disposed of afterwards.
For further inquiries regarding Student Registration Cards, please email to regcard@hku.hk.
Return of the Student Registration Card
The Student Registration Card's validity period represents the normative period of study of the registered programme. Students are not required to return the Card upon graduation or completion of studies. Notwithstanding the above, once the student has completed his/her studies and has the graduation result being announced, the Card will be invalid immediately and the card holder can no longer use the Card to access the University facilities. The Card will also be invalid once you have terminated your studies.
The Student Registration Card must be returned to the University on cessation of studies (not graduation) for whatever reason(s), and the University may, at its discretion, require a student to return the Card at any time without prior notice.
